Commissions

Track and pay commissions on orders and allow users to view pending and paid commissions.

Order Commissions

When an order is created, commissions are added for the Sales User and Sales Administrator based on their current commission percentage associated with their User account.

  • Commission totals recalculate any time an order total changes.

  • Commissions are overwritten when the orders Sales Person or Sales Administrator changes.

  • Commissions can be manually created, adjusted or removed by Accounting user roles.

User Commission Reports

Users can view their paid and unpaid commissions from their My Account.

  • Unpaid commissions display a list of commissions associate with orders that have an Order Date.

  • Paid commissions display a list of commissions based on a date range that have been marked as Paid.

Distributor Commission Reports

Distributors and Accounting users can view a report of Paid and Unpaid commissions from the Reporting section.

Preparing Order for Commission Payout

An Order should have all of the following complete in order to be ready to payout commission:

  • Customer payment and $0 balance.

  • Shipping costs reconciled for all POs (Shipping reconciliation date exists)

  • Supplier invoices reconciled for all POs (Supplier reconciliation date exists)

If all of the above has been added & reconciled, then:

  • Move the Order status to Completed

  • Ensure Commission % is properly added

General Commission Procedures

Reviewing Orders

  • Go through Orders in the Reports → Commissions screen with both shipping & supplier reconciliation dates and move to Completed if possible.

  • Review Orders with only 1 reconciliation date listed and see if they can be moved to Completed.

    • If an Order has a Shipping Reconciliation date only, check to see if Supplier costs can be removed (e.g. if a supplier invoice was never received for a Sample). If the costs can be removed, proceed with the following:

      • Add in accounting adjustment to zero out the costs

      • Remove dummy invoice from MPower if one was created

      • Delete dummy bill in QuickBooks if one was created

      • Check on Supplier Reconciliation checkbox

    • If an Order has a Supplier Reconciliation date only, check to see if there are any Shipping records so that the Order can be moved to Completed.

      • Change shipping cost to $0 if no records of shipping exist.

      • Check on Shipping Reconciliation checkbox.

Moving Commissions to Paid

  • Once all Orders have been reviewed for commissions payout, go to Reports → Commissions and select the Pending tab.

  • Select a Sales User, sort by most recent Completed Date, and select all orders with a Completed Date. This step also allows any double-checking of commission payouts, such as:

    • Commission %

    • Negative amounts (far-right column)

    • Balance

  • Once all relevant Orders have been selected, click the Pay button at the top of the page.

  • Go to the Paid tab, select a Sales User, and change the date range to include the day following the last pay date through the current date. This will then provide a commission amount to pay out.
